Terms of service
Last updated: 27 September 2026
These terms govern your use of the Waypoints platform at waypoints.co.za and its WhatsApp booking service. By registering or using Waypoints, you agree to these terms.
1. Definitions
- "Platform" — the Waypoints website, dashboard, and WhatsApp service
- "Provider" — a business or individual using Waypoints to manage bookings, routes, or deliveries
- "Client" — an end customer who interacts with a provider through Waypoints
- "We" / "Waypoints" — the operator of the platform
2. The service
Waypoints is a software platform that helps service providers manage client bookings, delivery routes, and WhatsApp communications. We provide the technology — the service relationship is between the provider and their clients.
We are not a party to any transaction between providers and their clients. We do not provide, guarantee, or take responsibility for any services or products offered by providers.
3. Accounts and registration
Providers
- You must provide accurate business and contact information
- You are responsible for keeping your login credentials secure
- You must not share your account with others or allow unauthorised access
- You must be at least 18 years old to register
Clients
- Client accounts are created when you register via a provider's join link or are added by a provider
- By registering, you consent to receiving WhatsApp messages related to your bookings
- You can unsubscribe from marketing messages at any time by replying STOP
4. Subscriptions and payment
Free plan
- Bookings via your public web link only; booking confirmations by email
- Limited to 10 bookings and 1 team member per month
- Limited to 5 cash bookings and 5 online payment bookings per month
- No subscription fee
Connect plan
- R100 per seat per month, billed via PayFast recurring card payment
- WhatsApp bookings and notifications, unlimited bookings
- Broadcasting is pay-as-you-go (R1 per broadcast); no route planning
- Billing begins when you subscribe and recurs monthly until cancelled
Premium plan
- R250 for the first seat and R150 for each additional seat per month, billed via PayFast recurring card payment
- Everything in Connect, plus route planning, automatic team-member assignment, and 25 free broadcasts per month (then R1 each)
- Billing begins when you subscribe and recurs monthly until cancelled
Cancellation
- You can cancel your Connect or Premium subscription at any time from your dashboard settings
- Your paid-plan features remain active until the end of the current billing period
- After the billing period ends, your account reverts to the Free plan
- No partial refunds are given for unused time within a billing period
Missed payments
If a recurring payment fails and is not resolved within the billing period, your account will be downgraded to the Free plan. You will be notified via WhatsApp. You can resubscribe at any time.
Referral credits
Referral credits give one free month to both the referrer and the referred provider. Credits expire 6 months after being issued and cannot be exchanged for cash.
5. Client payments
Waypoints facilitates payments between clients and providers but does not process, hold, or touch client funds. Payments are processed directly by the provider's own payment gateway account (PayFast, Ozow, or Yoco).
- Providers are responsible for setting up and maintaining their own payment gateway credentials
- Waypoints does not guarantee payment processing — any disputes are between the client, the provider, and their payment gateway
- Cash and EFT payments are tracked in the system but processed outside the platform
6. Refunds and cancellations
Client booking refunds
Refund policies are set by each provider individually. When a provider cancels a paid booking, both the client and the provider are notified that a refund may be due. The provider is responsible for issuing refunds through their own payment gateway.
Waypoints does not issue refunds on behalf of providers.
Waypoints subscription refunds
Waypoints Connect and Premium subscription fees are non-refundable. You can cancel at any time to prevent future charges.
7. Provider responsibilities
As a provider, you agree to:
- Provide accurate information about your business, services, and pricing
- Honour bookings made through the platform or cancel them in a timely manner
- Comply with all applicable South African laws, including the Consumer Protection Act, POPIA, and any industry-specific regulations
- Not use the platform to send spam, unsolicited marketing, or offensive content
- Respect client opt-out requests
- Safeguard your payment gateway credentials
8. Client responsibilities
As a client, you agree to:
- Provide accurate contact information and address details
- Attend booked appointments or cancel in advance
- Pay for services or products you have ordered and confirmed
- Not use the platform to send abusive or offensive messages
9. WhatsApp messaging
- Waypoints sends messages through Twilio's WhatsApp Business API
- Standard WhatsApp data charges from your mobile carrier may apply
- Transactional messages (booking confirmations, reminders, payment links) are sent as part of the booking process
- Marketing messages (announcements, promotions, re-booking invitations) are only sent to clients who have opted in
- Reply STOP to any message to unsubscribe from marketing, or STOP ALL to pause marketing from all providers
10. Intellectual property
The Waypoints platform, brand, design, and code are our intellectual property. You may not copy, modify, reverse-engineer, or redistribute any part of the platform.
Content you create on the platform (business descriptions, service listings) remains yours. You grant us a licence to display it within the platform as needed to provide the service.
11. Limitation of liability
To the maximum extent permitted by South African law:
- Waypoints is provided "as is" without warranties of any kind
- We are not liable for any loss or damage arising from the use of the platform, including lost bookings, missed appointments, failed payments, or service disputes between providers and clients
- We are not liable for WhatsApp message delivery failures caused by Twilio, Meta, or the client's network
- Our total liability to you is limited to the subscription fees you have paid in the 12 months preceding the claim
12. Suspension and termination
- We may suspend or terminate your account if you violate these terms
- We may suspend accounts that are used for spam, fraud, or abuse
- You can delete your account by contacting us — we will remove your data subject to legal retention requirements
13. Governing law
These terms are governed by the laws of the Republic of South Africa. Any disputes will be subject to the jurisdiction of the South African courts.
14. Changes to these terms
We may update these terms from time to time. We will notify providers of material changes via WhatsApp or email. Continued use of the platform after changes constitutes acceptance.
